Grey accounting software: grey purchase to finished fabric

A grey trader's books are not one bill after another. Grey is bought taka by taka, sent to a dyeing or processing mill, and comes back weeks later as finished fabric, a few meters short. The mill's bill carries GST and often TDS. Kept in a register beside the accounts, the lot and the money never meet. GintiDesk keeps the grey, the mill and the books in one place.

Grey Purchase, taka by taka

A Grey Purchase records the supplier's bill with each taka's meters typed into a Taka Details box, so the bill holds the takas, the meters and the value together. Only items marked as Grey Fabric are offered, the supplier's invoice number is checked against bills already entered, the GST comes from the item's HSN, and TDS from the supplier's own master.

Mill Issue: the grey leaves, but stays yours

From a Grey Purchase row, "Issue to Mill" opens a Mill Issue with every quality and taka already filled. The cloth leaves your godown and shows as "at mill" in stock, with the Mill Lot No, weaver, design and challan on the issue.

Mill Receipt: finished fabric, short worked out

When the lot comes back, the Mill Receipt lists the lots still pending at that mill. Per quality you type the pieces and meters received and the rate; the shortage in meters and percent is worked out on what was actually processed, and what came back unworked goes home as grey. The mill's processing charge is booked with its GST and TDS, and is added into the value of the finished cloth it was spent on.

The lot, read end to end

  • Mill Lot Register: each lot, issued against received.
  • Mill Reports: what is pending at which mill, by party, item or lot.
  • Wastage Analysis: issued, received and wastage %, document by document.
  • Grey Fabric Stock and Finished Goods Stock, each on its own page.

Questions

Can one grey purchase be sent to the mill in parts?

Yes. A Mill Issue can carry part of a purchase, and the rest stays in your godown as grey until it is issued.

Where does the mill's shortage show?

On the Mill Receipt itself, in meters and percent, and across lots in the Mill Reports and Wastage Analysis.

Is the mill charge an expense or part of the stock?

It is added into the value of the finished fabric the lot became, so the closing stock carries what the cloth really cost.
